INFORMATION REGARDING TERMS AND CONDITIONS

PRODUCT SELECTION AND AVAILABILITY 

During the planning process, flowers will be selected along with accents (such as ribbons, non floral accents, trim, ect), vases/containers. It is our mission to provide you with exactly what we discussed, however, there are certain circumstances that are beyond our control when dealing with fresh cut flowers. Some of the circumstances that could prevent you from receiving certain flowers are, but are not limited to: -weather conditions (extreme heat/cold, poor growing conditions on flower farms, snow/extensive rain) -delay in delivery from farms to suppliers -damaged/poor quality of flowers received by suppliers -incorrect flowers received by suppliers 

In any of these instances, we reserve the right to make the best appropriate substitute, using our professional opinion. If time allows, we will notify you about the change if it is something that is a drastic change. We will substitute for colour first, then similar flower.

With the ever-changing market, flower pricing fluctuates on the daily for a number of reasons. Although we try our best to stick to the original pricing quoted to you, there may be occasions where pricing is subject to change to account for the increase in cost from our wholesalers.

DECOR AND RENTAL ITEMS

If rentals from Velvet Rope Floral are a part of your invoice, you are responsible for ensuring that the correct number of rentals are present at the time of take down. Rental items include, but are not limited to: -centerpiece rentals (vases) -mirrors -votive holders -ceremony vases -ceremony stands 

These items must be in the same condition at the end of the night as they were presented for your event. Should any rentals be damaged beyond repair or are missing, you will be responsible for their replacement at full retail value. The payment for such damages/lost/stolen items MUST be paid within five (5) days of your event. 

CENTERPIECE TRIALS

If you have chosen to have fresh flowers incorporated into your centerpieces, as part of our services, we provide one (1) centerpiece trial for you at no charge, providing you have already paid your first deposit. If you wish to see a trial centerpiece prior to paying your first deposit, you will be required to pay for the centerpiece ahead of time. If you choose to place your deposit with us after you have paid for your centerpiece trial, that amount will be deducted from your invoice. Typically, centerpiece trials are scheduled 2-3 months prior to your wedding date. 

Deadline for changes 

You have up until 30 days prior to your event to make any changes you'd like to your order. All flower orders are placed one (1) month prior to your event. At this point, you can add items, but cannot eliminate anything from the invoice. Please note: when adding items, this will be based on availability on product. This deadline will not apply to special order items, be it flowers or hard goods such as vases/containers or personalized items.

Deposits 

Typically, a 30% deposit is required to secure your event date. This percentage may change if you require special order items or if your order is over $5000. Your first and second deposit is non refundable. If any other payments have been made, 50% of those payments will be refunded. NO REFUNDS WILL BE GIVEN TWENTY NINE (29) DAYS PRIOR TO YOUR EVENT DATE. In the event of a date change to your event, your deposit will be moved to that date. 

REFUNDS/ISSUES

In the unlikely event you should not be happy/satisfied with your product/service for your event, please contact us within ten (10) days of your event so that we may address any issues you may have had. Issues or concerns brought up after this time will definitely be addressed, however, no refunds or compensation will be given. We strive to make each and every one of our clients happy and want to rectify any issues in a timely manner.

TEAR DOWN/CLEAN UP

All fresh floral pieces are yours to keep at the end of the evening. We kindly ask that you leave behind and vases/risers/vessels used to display the floral pieces behind as they are rentals. It is your responsibility to take whatever floral you’d like at the end of the event. Our clean up tear down crew will strike the event at 1am, discarding any floral left behind. This is to avoid you (the client) from being subject to any additional clean up fees by the venue.

Product availability

The global impact of COVID19 can/may affect the product selection for your wedding. We ask that you trust us to choose the most appropriate flowers for your theme. There may be some decor items that will not be available as they appear on your invoice. If there were special order items, they may not be possible due to shipping restraints from the USA/abroad. Any and all changes in regards to this will be discussed with each individual client as need be.
